Workflow: Grant guidelines → Eligibility checklist
Convert long guidelines into a checklist you can work from. Always verify against the source.
Privacy + accountability: Don’t paste confidential info, personal data, or sensitive board discussions into consumer AI tools. AI may hallucinate or subtly change meaning. Use outputs as drafts only; a human must verify facts, tone, and approvals before publishing.

When to use
- The guidelines are public or safe to share as text
- You need a quick summary of eligibility, deadlines, required docs
- You want a repeatable checklist for the team
Inputs (safe)
- Public grant guideline text (or paste the relevant sections)
- Known deadlines (if listed)
- Your org’s high-level profile (non-sensitive) to sanity-check fit (optional)
IKEA instructions (do this in order)
- Paste the guideline text (or the eligibility + requirements sections).
- Ask: “Extract eligibility criteria, in checklist format. Quote exact wording where possible.”
- Ask: “List deadlines, required attachments, and submission steps.”
- Ask: “Create a one-page application checklist with headings.”
- Verify each deadline and eligibility clause by searching the original document.
- Save the checklist as your working document for the application.
Quality check
- Deadlines match the original source
- Eligibility language matches the source (no re-interpretation)
- Required documents are complete
- Checklist fits on one phone screen per section
Failure mode (when not to use)
- You treat the AI extraction as authoritative without checking the PDF/text
- The grant rules are ambiguous and need direct clarification from the funder
- You paste private donor/client data into the prompt
